What it is about

## Good inventory management has four parts.

You do not need a full inventory system with a barcode scanner to stay on top of things. What matters is that these four questions have an answer.

01

### Stock and storage locations

What is where, and who knows? An item list with fixed storage locations and shelf places prevents double purchases and searching during service.

02

### Par levels

How much of an item must be there for service to run smoothly? With a par level, "I think we need mozzarella" becomes a clear quantity.

03

### Counting

A regular look at the shelf is the basis of every order. Weekly or at month end: whoever counts orders more precisely and throws away less.

04

### Cost of goods

What does a dish cost to buy, and how much of the price is left for it? That figure decides the profit. Our glossary explains the basics.

What tischlein does today

## Purchasing, storage locations and costing in one tool.

These functions belong to the Purchasing product. The team uses them in the tischlein operations app, even in a cellar without signal. You set them up in the chat: a list, a photo or a delivery note is enough.

- Suppliers and item list Today

Per supplier the order channel, order days, cut-off time and your customer number. Per item the name your team uses, the supplier's description and article number, and the pack size.
- Storage locations in walking order Today

Cold room, dry store, cellar, kitchen or bar: every item has its storage location and shelf place. The lists follow your way through the store.
- Par level and minimum level Today

You set them per item. When counting, tischlein suggests "par minus stock" as the order quantity; without a par level the team simply taps "low".
- Counting at the shelf Today

Every count is saved with time and person. The team counts in the app, also offline, and the counts are sent later.
- Order round and order per supplier Today

Everything that is low lands on the right supplier's list. Each supplier gets only their lines, by e-mail, WhatsApp or as a PDF. Phone, web shop and cash and carry purchases are kept as lists.
- Delivery check Today

You tick each line: fine, short, missing or substitute. Missing quantities move to the next order.
- Purchase prices with history Today

Prices from a delivery note or invoice are saved per item with a date. When a price changes, tischlein recalculates the affected dishes.
- Cost of goods per dish Today

Recipes and purchase prices give the cost of goods per portion, with contribution margin and a price suggestion. The report shows which dishes earn too little.
- Stock level Partly

The stock is the last count. A running stock that rises on delivery and falls on sales is not included yet.
- Reading delivery notes and invoices Partly

Items, quantities and net prices are read from a photo or PDF and taken over after your approval. An automatic match against the order and payment is still missing.

What it sounds like day to day

## One sentence instead of a spreadsheet.

- „We are out of burrata, and we need two crates of water.“
- „What do I need to order this week?“
- „Send the order to Marché by WhatsApp.“
- „Here is the delivery note: which prices have changed?“
- „Which dishes earn nothing?“

To be honest

## This is not stock accounting.

tischlein is a purchasing and costing tool with counting today. If you need any of the following, plan for another system for now:

- a running stock that books deliveries and usage
- a stocktake list with a total value on a key date
- best-before dates and batches
- usage from till data and a comparison of expected and actual
- a monthly cost of goods from opening stock, purchases and closing stock
- waste and loss lists, barcode scanning, transfers between locations and temperature logs with readings

## Questions about inventory management

What is inventory management in a restaurant? +

The path of goods from ordering through delivery and storage to the dish on the plate, including the costs. It covers item list, orders, goods receipt, stock, stocktaking and cost of goods.

Does tischlein replace my inventory system? +

That depends on what you need. tischlein covers item list, storage locations, par levels, counting, orders per supplier, delivery checks, purchase prices and cost of goods per dish. A running stock, best-before dates or a till connection do not exist yet.

What should the cost of goods be? +

That depends on the type of venue. Many venues quote roughly 25 to 35 percent of net revenue for food and 20 to 30 percent for drinks; these are guidelines, not rules. With the costing calculator and the report in tischlein you see where your dishes stand.

How do I do a stocktake in a restaurant? +

You count every item in the order of your storage locations and value the quantity at the latest purchase price. In tischlein the team counts per item in the app and every count is saved. The total with a value on the key date is not yet part of tischlein.

Does counting work without a connection? +

Yes. The app stores counts, "low" reports and new items on the device and sends them as soon as there is a connection again.

Who may count and report "low"? +

Your team in the kitchen and at the bar, at the locations where they work. Owners and managers manage suppliers, items and orders.

    What does it cost? +

Purchasing is a separate product that is booked per location. You find the current price on the pricing page, where you put your package together.
